The 21th Annual Congress of the Japanese Society for Quality and Safety in Healthcare: Call for Submissions

We are seeking poster presenters for the English-Speaking Session of the 21th Annual Congress of the Japanese Society for Quality and Safety in Healthcare. In the English-Speaking Session, both presentations and discussions will be conducted in English. Presentations must concern research into one of the eight healthcare-related topics listed below.

Application Submission Period

The submission period for applications extends from April 1, 2026, to 12:00, May 22 (Friday), 2026 (Japan Standard Time, UTC+9)

Submission Guidelines

  1. AUTHORS –Lead (PRESENTING) AUTHOR – The lead author must also be the presenting author.
  2. The lead presenter can apply even if they are not a member of the Japan Society for Quality and Safety in Healthcare, but registration and payment of the participation fee are required.
  3. Please provide an accurate email address for the lead (presenting) author. Abstract submission results and abstract-related correspondence will be sent to the lead author via this email.
  4. CO-AUTHOR(S) – A maximum of 9 co-authors are allowed for each abstract. Type in the names and affiliations for each author as you would like them to appear in published material.
  5. The title for the abstract should be no longer than 15 words.
  6. Contents of the Abstract (excluding title, authors, and affiliations) should include either one of the following sets of headings:① Background, Objective, Intervention, Outcomes, Conclusion or ② Introduction, Methods, Results, Discussion. The abstract must not exceed 300 words. However, if it includes charts, or images, it should be around 250 words, and references should not be included in the abstract.
  7. Declaration of conflicts of interest is mandatory for all authors (See below for details).
  8. If the presentation requires ethical approval from the authors' institution, it is the authors' responsibility to obtain it. These do not need to be stated during the application process.
  9. Successfully submitted applications will be acknowledged with an email including an Identification number for the application.

Abstract Submission Guidelines

  1. All applicants are required to create a user account first. After creating the account, you can submit your abstract for this annual meeting with the account.
  2. Once the submission is completed, A confirmation e-mail will be sent automatically. If you do not receive the confirmation e-mail within 24 hours after submission, please contact the Congress Secretariat (21jsqsh@jtbcom.co.jp).
  3. Abstract number will be generated automatically when an abstract is submitted.
  4. For changes, withdrawal or additional submission, please log in to the system using your ID and password from "Abstract Submission" button at the bottom of this page.

Ethical Considerations Regarding Conference Presentations

It is an important responsibility of researchers to undergo appropriate ethical review when conducting research. Presenters are responsible for determining whether ethical review is required based on the content of their research, relevant ethical guidelines, and the regulations of their affiliated institution.
This conference does not require the submission of an ethics committee approval number or similar documentation at the time of abstract submission. However, we may contact you if any concerns arise regarding the content of your presentation. Please note that if you present at this conference without having undergone the necessary ethical review for your research activities, you will be held responsible.
In activity reports, please be mindful of privacy protection as an important responsibility required of healthcare professionals, and take sufficient care to ensure that patients or individuals involved cannot be identified.

Disclosure of Conflicts of Interest (COI)

The first author must declare their conflict of interest status, regardless of whether a conflict exists.
Please include a declaration of conflicts of interest (COI) at the bottom of the poster, covering the past one year prior to abstract submission, regarding items related to the submitted abstract.

*The items to be declared for conflicts of interest (COI) are as follows:

  1. Receiving annual compensation of 1 million yen or more as an officer or advisor of a company or for-profit organization
  2. Receiving annual stock dividends of 1 million yen or more from a single company as compensation for work, or holding 5% or more of the company’s stock
  3. Receiving annual patent royalties of 1 million yen or more from a single company or for-profit organization
  4. Receiving total annual compensation of 500,000 yen or more from a single company or for-profit organization for conference attendance (presentations, advisory roles, etc.) or speaking fees
  5. Receiving a total of 500,000 yen or more annually in manuscript fees (e.g., for writing pamphlets) from a single company or for-profit organization
  6. Receiving scholarship (support) funds or donations exceeding 2 million yen annually from a single company or for-profit organization, either for the declarant personally or for the organization to which the declarant belongs
  7. Engaging in research or education funded by donations from companies or for-profit organizations
  8. Receiving travel expenses, gifts, or other items unrelated to research from a company or for-profit organization totaling more than 50,000 yen per year

Notification of acceptance/rejection

  • Authors will be notified of acceptance or rejection in the late of August 2026.
  • The duration of each presentation is expected to be approximately 10-20 minutes, but this will be officially decided after the presenters have been finalized.
